Who can use this feature?
- Only Team Admins can use this feature.
- Only available in the Personal, Pro and Business plans.
Is an employee leaving your organization? Read on to learn how to fully offboard and revoke access from your MindMeister team. When a team member leaves your company, completely revoking access from the MindMeister team is the most important step in securing your data.
By following all steps outlined here, you can transfer responsibilities, ensure data security and (if needed) adjust your team's number of licenses. For a good overview of the entire offboarding process, please refer to this article.
Step 1: Deactivate Your Colleague's Account (=Set account to inactive)
Once all responsibilities and mind map roles have been clarified, you should permanently revoke access. This ensures that they cannot access mind maps or billing data.
To set the team role to “Inactive”:
- Click on your user avatar in the top right corner of MindMeister.
- Select Account > My Team.
- Find the user in question in the team list.
- Click on the drop-down menu under Team role.
- Select Inactive from the list.
- The user will now immediately lose access to MeisterTask and MindMeister.
- The user will remain visible in your list of users, but will no longer be able to view or edit any content.
- Tasks will remain assigned to them.
- This will also free up any licenses used by the team member.
Communicate the change to the team
- Please inform your team that the account of the employee who has left the company has been deactivated and that the user no longer has access.
- Please note that the user who is leaving is still the Content Manager for the mind maps they created. They remain the only user who can manage all mind map settings in these mind maps.
Step 2: Adjust Your Team's Number of Licenses
Once you've deactivated a team member, you can immediately invite a new team member to use your newly freed license.
If you don’t plan on replacing the team member, you can adjust your team's number of licenses in the Plans section of accounts. Changes will be applied at the start of the next billing cycle.
